Job Summary

The Administrative Assistant will work directly with our office staff to ensure all administrative tasks are efficiently and effectively implemented. The position requires a master multi-tasker with a wide breadth of experience managing clerical responsibilities with excellent communication skills and ability to organize the work using Microsoft suite and other administrative programs. The Administrative Assistant must be detail oriented as well as a self-starter.

RESPONSIBILITIES

  • Maintain positive and professional staff and customer relationships; welcome and greet customers and office guest
  • Handle multiple projects
  • Manage staff appointments
  • Provide clerical support for all office staff
  • Responsible for confidential and time sensitive material
  • Plan and schedule meetings, presentations and other office related events; send reminders regarding upcoming appointments
  • Maintain conference room bookings
  • Assist with shipping merchandise and hop plugs/samples
  • Manage the hops@crosbyhops.com email/fax account and forward to appropriate people
  • Oversee CHF’s SharePoint site, updating it regularly with key events, corporate calendar management
  • Suggest changes to office task workflow to improve efficiency
  • Answer phones in a professional manner and direct calls to appropriate person or take detailed messages
  • Maintain employee and department directories to direct visitors
  • Route incoming packages and mail to the correct person and department
  • Schedule travel arrangements
  • Maintain office security for visitors and issue appropriate PPE for site tours
  • Complete monthly expense reports
  • Help preparing Brewer selection visits and clean up afterwards
  • Assist Company events planning (CHF Harvest Party, Family Day, Townhall meetings, Holiday Party)
  • Manage communication of information in and out of the office; type out correspondence letters, emails, memos, etc. (paper and electronic)
  • Assist in preparation of presentation materials
  • Monitor office supplies; order and re-stock as needed
  • Ensure office is always kept clean and organized
  • Coordinate office repairs with Facilities Manager (aka Operations Supervisor)
  • Manage and fulfill employee swag orders
  • Additional duties, as requested

ESSENTIAL FUNCTIONS

  • Ability to work long stretches of time at a computer or monitor.
  • Willingness to use the phone for expediting purposes and maintaining strong communication in customer relationships.
  • Willingness to represent the Crosby Hop Farm brand at relevant industry related events in the local community.
  • Willingness to travel occasionally locally for work.

REQUIREMENTS

  • High school diploma or GED equivalent required
  • 2+ years experience as an administrative assistant
  • Fast, proficient and accurate typist
  • Extensive knowledge of Microsoft Suite and other administrative programs
  • Outstanding communicator, both orally and written
  • Excellent customer service skills
  • Excellent time management skills and ability to multi-task and prioritize work
  • Detail-oriented and exceptional organizational skills
  • Strong problem solver and analytical thinker
