Description

This is a mid-level position with competitive pay and benefits, plus an awesome working environment. The ideal candidate is a team player, always has a positive attitude, is extremely organized, detail oriented, and a confident self-starter.

Responsibilities

Reception Duties

  • Greet and welcome guests with a positive and friendly attitude
  • Assist visitors with sign and sign out of electronic Envoy system
  • Direct visitors by maintaining employee and department directories
  • Answer, screen, and forward incoming phone calls

Office Management Duties

  • Sign for incoming packages and route them to the correct person or department
  • Ensure the office is kept tidy and organized – 5S the office when needed
  • Keep track of all office supplies, beverages, etc. and replenish as needed
  • Maintain office security for visitors and issue appropriate PPE for tours
  • Print ID badges for new hires
  • Keep track of all visitor vests, helmets, safety glasses and visitor badges
  • Coordinate office repairs with Facilities Manager
  • Oversee CHF’s SharePoint site updating it regularly with key events, corporate calendar management
  • Make coffee, water plants, and run the dishwasher when needed
  • Manage/replenish breakroom supplies and snacks
  • Coordinate meeting lunches and pickup/delivery or catering

Clerical Duties

General

  • Keep the company Org Chart and Contact List up to date
  • Pick up the mail by 3pm every day and deliver to the Accounting Department
  • Update calendars, help schedule/coordinate meetings, and manage conference room bookings
  • Assist with administrative tasks such as copying, scanning, filing
  • Process swag orders when needed
  • Manage the hops@crosbyhops.com email/fax account and forward to the appropriate people
  • Responsible for confidential and time sensitive material
  • Complete monthly expense reports as needed
  • Support other teams with various administrative tasks
  • Assist with special projects as needed

Travel Coordination

  • Make travel reservations as needed for employees and guests
  • Manage corporate travel programs to maximize savings and travel awards
  • Act as purchasing coordinator for the requisition all non-inventory items
  • Enforce purchasing policies and controls
  • Process purchase requests, ensure proper authorizations and convert to purchase orders in ERP system
  • Be part of the team to plan and organize company events

Purchasing

Requirements

  • High school diploma or GED equivalent required
  • Competency in Microsoft applications including Word, Excel, and Outlook
  • Excellent communication skills, both orally and written
  • Ability to be resourceful and proactive when issues arise
  • Ability to multitask, be efficient and prioritize
  • Detail-oriented and exceptional organizational skills
  • Strong problem solver and analytical thinker
  • Experience in customer service is a plus
  • Experience in office administration a plus
